This Privacy Policy describes the practices of Overturf Industrial Development LLC, 1355 Lawrence St NE, Washington, DC 20017, United States of America, email: su@samsurveyor.com, phone: 667-276-8780, regarding the collection, use, and disclosure of your information when you use our website (www.samsurveyor.com) and the SamSurveyor platform (the "Service"). This Privacy Policy explains what information we collect, why we collect it, and the choices you have.
We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date above. If we make material changes to how we collect or use personal information, we will notify registered users by email or by a prominent notice on the Service before the change takes effect. Your use of the Service after the effective date of an updated policy means the updated policy applies to you.
SamSurveyor is a platform that enables our customers ("Researchers") to design, deploy, and manage conversational survey agents. Researchers bring their own participant lists and are responsible for the data they collect through surveys conducted on our platform.
With respect to survey respondent data, we act as a data processor on behalf of our Researcher customers, who are the data controllers. We process survey respondent data only as directed by the Researcher and in accordance with our Terms of Service. If you are a survey respondent and have questions about how your data is being used, please contact the Researcher who sent you the survey.
This Privacy Policy primarily describes the information we collect directly from you as a visitor to our website or as a Researcher using our platform.
Account information. When you register as a Researcher, we collect your name, email address, and, if you provide it, your mobile phone number. If you sign in with Google, we receive your name, email address, and profile picture from your Google account. We do not receive your Google password.
Survey content. We store the surveys Researchers design, including questions, flow logic, and configuration.
Survey session data. When a survey is conducted, we process the respondent's answers on behalf of the Researcher. Where a survey uses voice interaction, this includes audio of the respondent's spoken answers and text transcripts of the conversation. We process this data as a service provider to the Researcher (see Section 1).
Technical information. Like most online services, we automatically receive certain technical data such as IP address, browser type, device information, and logs of how the Service is used. We use this to operate, secure, and improve the Service.
SamSurveyor surveys are conversational and may be conducted by voice or text. When a respondent chooses voice interaction, their microphone audio is captured, transcribed, and stored as part of the survey session, and Sam's spoken replies are generated using text-to-speech technology. Respondents can always decline voice and use text instead.
Survey conversations are interpreted using artificial intelligence services, including large language models provided by Google Cloud. These services process conversation content to understand answers and guide the survey. Our agreements with these providers restrict their use of the data to providing the service to us; conversation content is not used by us to train third-party foundation models.
We do not create voiceprints and we do not use voice recordings to identify individuals. Audio is retained as survey response data under the controlling Researcher's instructions and our retention schedule.
We use the information we collect about you for the following purposes: creating and managing your user account; providing and operating the SamSurveyor platform; communicating with you about your account and our services; and sending survey invitations through email or Google Chat and operating Web Chat surveys on behalf of Researchers.
If we want to use your information for any other purpose, we will ask you for consent and will use your information only on receiving your consent, and then only for the purpose(s) for which you grant consent, unless we are required to do otherwise by law.
We do not sell personal information, and we do not share it with third parties for their own advertising. We share information only with service providers who help us run SamSurveyor, under contracts that limit their use of the data:
Google Cloud Platform (hosting, data storage, AI language processing, and text-to-speech); Google (sign-in via Google OAuth, and Google Chat delivery where a Researcher uses that channel); our email delivery provider (for survey invitations and account email); and our SMS verification provider (for one-time login codes).
We may also disclose information if required by law, to protect the rights and safety of users and the public, or as part of a corporate transaction such as a merger or acquisition, in which case this policy will continue to apply to the transferred data.
Phone verification. If you choose to create an account through the Sam Receptionist, we may use the mobile number you provide to send a one-time identity-verification code. This message is transactional and does not subscribe you to marketing, support, or survey messages. Our verification provider may process your phone number and the verification result for the limited purpose of completing this check; SamSurveyor does not store the one-time code you enter. Message and data rates may apply.
Survey delivery by text message. SamSurveyor does not operate a shared SMS or MMS channel for survey delivery. Surveys are delivered through our common channels: email, Google Chat, and Web Chat. A Researcher who wishes to deliver surveys by SMS/MMS must register and operate their own messaging campaign with their own provider, in compliance with carrier requirements and applicable law. In that case, text messages come from the Researcher's registered campaign, and the Researcher is responsible for obtaining any required consent from recipients and for honoring opt-out requests. If you receive a survey by text message and have questions or wish to opt out, contact the Researcher who sent it (or reply as instructed in the message).
We retain account information for up to 2 years after you terminate your account, or for as long as we need it to fulfill the purposes for which it was collected as detailed in this Privacy Policy. We may need to retain certain information for longer periods, such as record-keeping or reporting in accordance with applicable law, or for other legitimate reasons like enforcement of legal rights and fraud prevention. Residual anonymous information and aggregate information, neither of which identifies you (directly or indirectly), may be stored indefinitely.
Survey respondent data is retained in accordance with our Terms of Service and the Researcher's instructions. When a Researcher terminates their account, associated survey data is deleted in accordance with our retention schedule.
SamSurveyor is operated from the United States and data is processed on servers in the United States. If you access the Service from outside the US, your information will be transferred to and processed in the US, where privacy laws may differ from those in your country. Where the EU or UK General Data Protection Regulation applies, we rely on appropriate safeguards, such as Standard Contractual Clauses, for such transfers.
Depending on the law that applies, you may have a right to access and rectify or erase your personal data, receive a copy of your personal data, restrict or object to the active processing of your data, ask us to share (port) your personal information to another entity, withdraw any consent you provided to us to process your data, lodge a complaint with a statutory authority, and such other rights as may be relevant under applicable laws. United States state privacy rights. Depending on your state of residence, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to appeal a decision we make about a rights request. We extend these rights to all users regardless of state. We do not sell personal information and do not process it for targeted advertising, so there is nothing to opt out of on those grounds. Because we do not track users across third-party sites, we do not respond to browser "Do Not Track" signals; we honor opt-out preference signals such as Global Privacy Control where the law requires. Do note that if you do not allow us to collect or process the required personal information, or if you withdraw consent to process it for the required purposes, you may not be able to access or use the services for which your information was sought.
SamSurveyor accounts are intended for adults, and we do not knowingly collect personal information from children under 13 for our own purposes. Researchers who use the platform to survey minors are responsible for obtaining all required consents (such as verifiable parental consent) and approvals (such as IRB review) before doing so. If you believe a child's personal information has been provided to us in error, contact su@samsurveyor.com and we will delete it.

We do not use third-party advertising or tracking cookies. Where required by law, we will ask for your consent before setting non-essential cookies. You can control cookie behavior through your browser settings. Note that disabling essential cookies may prevent you from using certain features of the Service.
The security of your information is important to us, and we use reasonable security measures to prevent the loss, misuse, or unauthorized alteration of your information under our control. However, given the inherent risks, we cannot guarantee absolute security.
